This policy describes personal information handled in connection with these services. The information involved depends on your role, the features you use, and the configuration of your property.

SpotOrbit and property administrators

SpotOrbit handles account, service, and payment-related information to operate the platform. Property owners and administrators decide who may access their properties and how site features are used. Where SpotOrbit processes property records on their behalf, their instructions and applicable agreements also govern that processing. Contact your property administrator about site permissions, camera use, and property-specific records; you may also contact us for help identifying the appropriate recipient of a privacy request.

Information we handle

Information may include your account identifier, name, email address, phone number, profile information, property memberships, roles, and access permissions. Reservations and access services involve site and spot details, booking dates, subscription status, and activity associated with access requests. We also receive the information you choose to include when contacting us. Please do not send passwords or full payment card details in support messages.

Property images, cameras, and vehicle events

Administrators can upload a property preview image selected from their device gallery. At properties using connected camera features, SpotOrbit handles camera events, timestamps, detected vehicle license plate text and recognition scores, and access to available snapshots, video clips, or recordings. These features may capture people or vehicles at the property and are available according to site permissions and configuration. Property administrators are responsible for their camera operation and notices. Site addresses identify the property; they should not be confused with collection of your device's GPS location.

Mobile app analytics

The mobile app uses Firebase Analytics in its production configuration, including a navigation observer that records screen activity. This involves app usage information processed by Google's Firebase service for analytics. This mobile app behavior is separate from the landing page's appearance and navigation storage. Contact us with questions about analytics data and your choices under applicable law.

Payments

Stripe processes payments for supported reservations and subscriptions. SpotOrbit handles transaction amounts, payment status, and references such as checkout, subscription, invoice, and refund identifiers to associate payments with your service and address billing issues. Payment information submitted through Stripe is also subject to Stripe's privacy policy.

How information is used

We use information to authenticate accounts, manage roles and permissions, support reservations and access, operate property features, process and reconcile payments, and respond to support requests. Service activity also supports troubleshooting, investigating misuse, and resolving disputes. The information used for each purpose depends on the feature and your relationship with the property.

Access and service providers

Authorized property administrators and staff may access information relevant to managing their sites, residents, visitors, reservations, and security features according to their permissions. Providers supporting hosting, authentication, storage, communications, and payments process information needed for those services. Stripe provides payment processing and Supabase supports platform data and authentication. Firebase supports mobile analytics, and connected video services provide access to available camera media. Other residents or visitors are not authorized simply by using SpotOrbit to access all of a property's records.

Cookies and device storage

The landing page uses local storage to remember your light or dark appearance preference and session storage to support navigation between page sections. Signed-in services use session and authentication storage to maintain access to your account. The management console remembers the selected property in local storage, and the web application stores the cookie-notice choice. Mobile apps also use device storage for preferences and authentication-related information. Clearing storage or signing out may reset preferences or end a session. Integrated services such as Stripe have their own storage and privacy practices; this policy does not treat visiting the website as consent to optional tracking.

Security and retention

The platform uses authentication and permission checks to restrict access to protected features and records. No online service or storage system can guarantee complete security. Keep your credentials private and contact us if you suspect unauthorized access. Retention depends on the type of information, the service and property configuration, and applicable recordkeeping obligations. A request to close an account or remove information may be subject to records needed for transactions, disputes, security investigations, or legal obligations; it does not necessarily erase every property record or backup immediately.

Your choices and requests

You may contact us to request access to, correction of, or deletion of personal information, or to ask about how it is used. Available rights and exceptions depend on applicable law and whether SpotOrbit or a property operator is responsible for the records. We may need to verify your identity and authority before responding. Use device settings to manage app permissions. Withholding information or permissions needed for a feature may limit that feature.
